Effective communication is the process of conveying information between people.  In today’s world communication can be face to face, emails, text messages, telephone conversations or messages and many other varied forms.

Two parts of communication are that someone is relaying information and another person or persons are receiving that information.  For effective communication it is necessary for the person receiving the information to do so with as little distortion as possible.  Communication is effective when both the sender and the receiver of the message understand the information in the same manner regardless of the way it was communicated.

Basics of Effective Communication to Relay the Message

  1. Know the message you intend to send, know the subject matter and be confident that what you are communicating is accurate.
  2. Speak clearly and precisely.
  3. Maintain appropriate volume and tone for the message being sent.
  4. Know your audience and present the message in a manner that is acceptable to them.
  5. Answer questions completely and be sure the message given was the message received.
  6. Make eye contact and use good verbal and nonverbal communication skills to deliver the message intended.

Basics of Effective Communication when Receiving the Message

7. Listen attentively to the message being conveyed.

8. Avoid forming your response prior to letting the person finish speaking

9. If after listening to the complete message you remain unclear on the subject ask appropriate questions to clarify any miscommunications.

10. Avoid multitasking during communication.  Give your full attention to the information being given to you.

Basics of Effective Communication Vary with Types of Communication Used

Depending on which form of communication you are using to relay your information you will probably need to modify some of the tips given.  If you are using written communication you would not be able to use eye contact but you can emphasize using punctuation or bold or italics to highlight specific points.  You may want to ask for feedback of the message to ascertain that the message sent was the message received by others.  When receiving written information be sure to read it thoroughly and completely.  If you are unclear respond to the sender with any questions you may have to clarify any points that were not clearly communicated.  Remember that communication can only be effective if both the sender and the receiver have the same information following the communication.
